This is new to me. What exactly is ProviderWatch?

ProviderWatch is the only nationwide credit reporting agency created exclusively for daycare providers.

ProviderWatch has been helping daycare providers since 2000.

We collect reports on parents who are consistently delinquent with childcare payments. Then, BEFORE you say yes to a new customer, you can access our extensive, national database to screen each parent. This allows you to have the upper hand and to avoid the stress of taking on new parents who make a habit of repeatedly not making their childcare payments.

Here's a summary of what our full-access membership offers:

  • A FREE, legal way to report any parent who is consistently delinquent with his/her childcare payment without the need for expensive credit reporting subscriptions.
  • 24-hour online access to the reporting system, making it convenient for you.
  • The confidence to enter into a daycare contract with full knowledge of the childcare payment history parents may have with past providers.
  • The ability for paid members to search our nationwide database, at no additional cost. This lets you find out about a parent who has been negligent with his/her past childcare payments BEFORE you take them as a client. Nationwide access protects you, even when dealing with families who have recently relocated to your area.
  • A free annual daycare contract review (with your paid membership) to assist with avoiding common pitfalls that may leave you open to a delinquent childcare payment, a parent who - without notice - leaves your daycare, collection proceedings or other hazards.
  • Telephone and online support and information to members regarding all aspects of childcare: management software, payment, collection and more.
  • More exclusive childcare-related services in line with member feedback.
  • a BONUS! A FREE basic listing to advertise your daycare center on our sister site www.FindADaycare.com. Parents in your local area can find your listing and contact you for details about your daycare services.
"...ingenious website! My individual daycare along with various other providers in our childcare association have signed up for this service."
-- Alyce M.

Is this legal?

This is the number one question we get asked by daycare providers.

Yes, reporting a parent who has been delinquent with his/her childcare payment is completely legal.

ProviderWatch is an authorized consumer-reporting agency that operates in compliance with the Fair Credit Reporting Act. Our team of legal advisors keeps ProviderWatch updated on any changes in state and federal laws to ensure our system stays legal!

Feel free to read the Fair Credit Reporting Act if you would like to become familiar with its contents. Read the FAQ regarding disclosure to customers for more information on this topic.

What is the difference between ProviderWatch and credit reporting companies like Equifax and TransUnion?

The biggest difference between those credit reporting agencies and ProviderWatch is that ProviderWatch specializes in the area of delinquent childcare payments. By specializing in this area, we are able to maintain an accurate database specifically related to childcare.

  • an annual childcare contract review by our professional staff,
  • a national toll-free number available 24 hours a day - calls cost you nothing!, and

Everything is included when you join!

Can I report information on "problem" parents who don't owe my childcare center a payment?

No. This is considered slander and is not legal.

If you have questions about how to deal with situations that get out of hand, call us! We are always happy to give you helpful information and tips on preventing future problems.

Do I have to tell my new customers/applicants that I am going to use ProviderWatch?

No. Due to the nature of the daycare business, you do not need to tell your applicants that you are going to request a ProviderWatch report.

In accordance with the Fair Credit Reporting Act, if your request returns negative information about that person (such as a daycare-related collection, delinquent childcare payment, etc.), and you decide not to provide care for that person's child, you MUST tell your applicant that the information listed with ProviderWatch contributed to your decision.

At that point, you are legally required to tell the applicant how to contact us, so that they may request a copy of the report currently on file in our system. This requirement is also listed in the ProviderWatch membership agreement.

Note: While you do not have to tell your applicants that you are going to use ProviderWatch to access their daycare history, we have many members who choose to do so.

They often include information about ProviderWatch in their daycare contracts and policies. Applicants who have something to hide (like a daycare-related collection, delinquent childcare payment, etc.) will be discouraged by this information. They will also begin to realize that they cannot continue to "hop" from provider to provider because ProviderWatch is keeping an eye on them.

For a sample policy to include in your daycare contract, click here.

When I become a member, will I receive a list of parents in my area who have been through daycare collection proceedings or have had a past-due childcare payment?

ProviderWatch members do not receive a list of names when they join. Here's why.

It is illegal for us to just pass around a list of names. The only time you can legally request information about parents and their childcare payment histories is when you are considering them as potential customers for your business.

Also, the delinquent account data changes daily. ProviderWatch receives numerous delinquent reports every day. Any "list" would not be current by the time it reached our members.

Where does the information for the ProviderWatch "No Regrets" Risk Managment System (SM) come from?

Before, during and after the launch of ProviderWatch, we have collected - and continue to collect - account information from both daycare collection agencies and daycare providers across the United States. Since the year 2000, we have been accepting reports, at no cost to the provider, on any unpaid daycare accounts.

All this information gives you an enormous advantage when screening parents. You can find out instantly whether the parent has been involved with a daycare-related collection, delinquent childcare payment procedure or other unsavory battles. This saves you time, stress, frustration and - most of all - lost money!

Can you help me improve my daycare contract?

Yes! ProviderWatch has trained staff members that will review and suggest improvements and/or additions that will keep you protected.

This is just another FREE service ProviderWatch offers our members.

As soon as you become a member, you can submit your daycare contract and any specific questions you may have, and - in just a few days - your contract review will be complete!

"Thank you so much! Your suggestions were of great help and were implemented into my contract. Thank you for helping me with this. This service is great and will be of great help for all providers! :) Thanks again!"
-- Jackie
